Overview of Responsibilities
The administrative assistant receives the clients and represents the agency in the community. They are the first point of contact for the community and help to advance Centro Latino Americano’s mission by working to foster a hospitable, safe environment for clients.

General and Specific Duties
 Represent Centro Latino Americano
 Maintain a high level of professionalism and integrity
 Greet visitors and clients
 Answer phones, direct calls, and perform general clerical duties
 Prepare, scan and send documents
 Coordinate schedules for the social services program & provide scheduling support to other programs when needed
 Maintain an orderly work space
 Organize and distribute staff meeting agendas
 Clean and maintain the reception area
 Provide crisis intervention on an as needed basis
 Document client requests for services as well as walk-in appointments
 Receive and accurately document client payments
 Assist with volunteer coordination
 Follow all processes established by the Business Operations Manager
 Refer clients to community resources when relevant
 Create forms, publicity materials and draft correspondence for staff
 Draft and send monthly newsletters
Position Requirements
 Knowledge of the Microsoft Office Suite and PC’s in general
 Effective communication skills in English and Spanish
 Working knowledge of community resources that provide services in Spanish and English
 High level of organization
 Ability to multitask
 Working knowledge of Spanish and English grammar
 Excellent time management skills
 Outstanding customer service skills & phone etiquette

•Bilingual: English and Spanish
•High School Diploma or GED; 2-years higher education experience preferred
•Experience working in a professional office setting
•Ability to work in a fast-paced environment
•Knowledge of administrative and clerical tasks
•Ability to multitask
•Ability to create and revise grammatically correct correspondence and documents
•Excellent time management skills
•Excellent customer service and telephone skills
•Proficiency with PC’s and the Microsoft Office software suite
